Sending your first email marketing campaign is an exciting step for your business. Clear formatting helps you create professional emails that connect with customers and make the next step easy. You do not need a large marketing team to get started.

Start With a Clear Goal and the Right Audience

Email can be a useful sales channel. Statista reported that global email marketing revenue was projected to exceed $9.5 billion in 2024 (Statista, 2024). However, your campaign needs a clear purpose, not just a promising channel.

Before you write, choose one goal. Do you want to bring people to your website, promote a new product, or announce a discount? Too many goals can weaken your message.

Next, choose one group of subscribers. A bakery offering a seasonal discount to regular customers needs a different message from one welcoming new subscribers. Focus on what that group needs.

Write as you would speak to a customer in person. Explain the offer and why it matters to them.

Keep paragraphs short, with one idea in each. Use clear headings and leave space between sections so readers can scan the message. Finish with one main call to action, such as booking an appointment or viewing a product.

Format Your Email to Work on Any Device

Forbes Advisor reports that 41% of email views come from mobile devices (Kaan, 2026). This published figure is a useful reminder to design for smaller screens, though your audience may differ.

Start with a simple, single-column layout. Choose a readable font and keep key information in text, not only in images. Add brief image descriptions, known as alt text, for readers who cannot see the images.

Make your main action easy to find and tap. According to Campaign Monitor, a platform offering responsive email templates, “Instead of using text hyperlinks, use buttons with bright contrasting colors when linking to your landing pages. Take the minimalist route in regard to your links, as including too many options to click can overwhelm readers, causing them to ‘freeze’ and not click anything at all” (Campaign Monitor, 2019)

An email platform such as this with responsive templates can adjust your layout to different screens without coding. Still, send a test email and check it on a phone and a computer. Test every link, including the unsubscribe link.

Send on a Consistent Schedule

Choose a schedule you can maintain: weekly, every two weeks, or monthly. Regular, useful messages help customers remember your business. Avoid sending simply to fill a gap in the calendar.
