It is a really helpful tool used to prioritize tasks based on their importance and urgency. It divides tasks into four quadrants:
- Important and Urgent: These tasks require immediate attention and should be addressed first.
- Important and Not Urgent: These tasks are important, but can be scheduled for later.
- Urgent and Not Important: These tasks should be delegated or eliminated if possible.
- Not Important and Not Urgent: These tasks can be ignored or put off until later.
By using this Time Matrix, you can focus on the most important tasks first and prioritize your time effectively.
After mapping your tasks in these quadrants, must have a look on how many tasks are in each box.
Ignore/remove tasks that are in box 4. Try to get as many tasks in box 2, so in time you will have less of these urgent issues in 1. This will increase your preparation level as you anticipate better.
This will also reduce your stress level as items in box 1 absorb all of your attention, and the energy of tasks in box 2 is less exhausting. After a time of handling elements in box 2 you will get into a state of productive flow.
